About the Position

With the appointment of the Foundation’s inaugural CEO in early October 2023, the Foundation is prepared to build a dynamic team to advance its mission and programs. As one of the first members of the Foundation’s staff, the senior executive assistant will have the opportunity to work closely with the CEO, members of the Board, and partners as they shape the direction of this important national foundation.

The Senior Executive Assistant reports directly to the Chief Executive Officer, acting as the CEO’s primary coordinator and liaison for internal and external relations. This individual manages the CEO’s calendar and activities to ensure maximum efficiency and value. The ideal candidate must be proactive with excellent problem solving and judgment skills, and able to work well in a remote team environment that spans multiple time zones. Attention to detail and the ability to anticipate needs are a must, especially in a fast-paced environment with shifting priorities. The individual must be capable of handling details of a highly confidential and critical nature, interact comfortably and skillfully with Board members, partners, donors, and senior level executives outside the organization, as well as with Foundation staff, vendors, and partners. The Senior Executive Assistant will be expected to resolve time-sensitive issues with a high degree of precision and exhibit strong organizational, written, and verbal communication skills. The individual will apply judgment and execute tasks with minimal direction and have strong technical skills.

This position is a key member of a national team with periodic overnight travel. The candidate is ideally based in Washington, D.C.

Primary Responsibilities and Goals:

CEO Support

  • Responsible for day-to-day management of the CEO’s calendar and activities to ensure high value time utilization of the CEO in relationship to external and internal requirements. Brief/update the CEO on upcoming meetings and ongoing obligations.
  • Coordinates complex scheduling and calendar management for CEO, including agendas, travel needs and expenses, stakeholder engagements and meeting logistics.
  • Supports CEOs email communications and assists in providing timely responses to inquiries sent to CEO.
  • Coordinates meetings and agendas with internal staff to facilitate strategic alignment and flow of information.
  • Supports the CEO in dealing with confidential or sensitive personnel or other organizational matters.
  • Works with CEO and leadership team to manage annual operating calendar to ensure that organizational goals are tracked, and best practices are upheld; manages the annual CEO Dashboard and quarterly progress reporting, working with CEO to identify adjustments on performance priorities and deadlines.
  • Collaborates with CEO and Leadership Team to foster a culture that honors the Foundation’s values of Inspiration, Trust, Connection, Lasting Impact, and Inclusivity.

Board Operations

  • Supports meeting planning and logistics for the Board of Directors; provides on-the-ground support for Board field trips and meetings, takes minutes and follows up on action items.
  • Works with the CEO, senior leadership team and consultants to prepare materials for the quarterly Board Books and assists in ongoing communications and activities with the Board of Directors.

Meetings & Events

  • Works with Foundation staff and consultants to prepare the CEO for external meetings, presentations , and events, and ensures timely follow up of all action items.
  • Coordinates Foundation’s engagements with BLM and key stakeholders
  • Assists with or manages special projects which may include donor events, media interviews, speaking engagements, publications, or special projects.

Operational Support

  • Provide administrative and office support, such as overseeing office needs for hybrid teams, maintaining databases and filing systems, and managing Foundation mail/and other materials.
  • Develop, maintain, and refine internal processes to support the effectiveness and efficiency of the CEO and ongoing operations of the Foundation.
  • Coordinate internal and external resources to expedite workflows to meet CEO priorities.

Professional Qualifications and Personal Attributes:

The Senior Executive Assistant should ideally possess the following professional qualifications and personal attributes:

Professional Qualifications:

  • A bachelor’s degree is required or equivalent work experience. Minimum 7 years’ experience as executive assistant to CEO or other C-level position. Experience working in government or foundation a plus.
  • Impeccable judgement and organizational skills; flexible and resourceful.
  • Outstanding grammar and proofreading skills. Experience writing reports and business correspondence.
  • Strong verbal communicator with experience interacting with donors, partners, and Board of Directors.
  • Strong sense of accountability, integrity, and ability to handle highly visible responsibilities.
  • Cultural agility skills necessary to work effectively with diverse people, teams, and stakeholders.
  • Technical savvy with OneDrive, Microsoft Office Suite, Adobe, PowerPoint, and virtual technology. Project management software experience (e.g. Asana a plus)
  • Ability to travel out-of-state travel to support Board meetings or other business as needed (up to ~20%).

Compensation

Compensation for the Senior Executive Assistant includes a base salary and a financial package to cover health and other employee benefits. Salary range is $75,000 – $96,000.

Foundation for America's public lands

On May 5, 2017, Congress authorized the creation of  the Foundation for America’s Public Lands (Foundation) to address the following overarching goals:

  • To encourage, accept, and administer private gifts of money, real and personal property; and in-kind services for the benefit of, or in connection with the activities and services of, the Bureau of Land Management.
  • To conduct activities, campaigns, and programs that advance the purposes for which public land is managed.
